Social Media Policy

The following requirements relate to the Club’s social media channels although the advice is good practice for everyone to consider and observe. Committee Member and Officers are mindful that they representatives of the Club and the Breed generally and must hold themselves to this standard in all their interactions on social media.

1. Overview

Online and social media have become a common and effective means of personal and professional communication and have fundamentally changed the way many people interact. For the Club, these forums present both opportunities and challenges. The Club recognises that we must enable and encourage the effective use of social media in order to engage and maintain contact with our members. We also recognise that social media must be used responsibly and in a manner consistent with our value and ethics. This policy sets out our expectations with respect to the use of social media and we encourage all members and require Committee members to act in accordance with it.

The term “social media” as used in this policy encompasses a wide range of online media and communications and their scope is constantly evolving. For purposes of this policy, we use the terms “online media” and “social media” to refer to internal and external websites, blogs, online social networks (e.g., Facebook, Instagram, Twitter, and the like), wikis, video and photo sharing sites (e.g., YouTube and Flickr) and other forms of personal online publishing and discourse.

Social media forums are typically public. Even when using social media for purely personal purposes, you should remember that your public expressions can affect the Club, it’s Officers and Members. Accordingly, anyone participating in social media must ensure that their participation is consistent with Club policies and ethics.

2. The Requirements

  • Know and comply with the Clubs policies. Ensure that your participation in social media complies with applicable Club policies including the Code of Conduct.
  • Be thoughtful about how you present yourself in online social networks. You should always consider the possible implications of your participation in social media. If you are unsure about whether or not to participate in a social media network, pause, ask advice from a trusted source and use your best judgment. The lines between public and private, personal and professional can easily be blurred in social media. If you identify yourself as a Club Officer or Member, ensure your profile and related content are consistent with how you wish to present yourself. You are responsible for ensuring that content posted or managed by you is consistent with this policy.
  • Act with integrity and in a courteous, professional manner. Club Officers and Members participating in social media forums must hold themselves to the highest standards of truthfulness. Honesty and integrity are core values for the Club. You must not knowingly publish in social media networks material you know to be false, or present unsubstantiated rumours as truth. If anyone publishes information that they later learn to be false, the information must be corrected promptly. You should interact with others in a respectful and dignified manner.
  • Do not speak for the Club unless expressly authorised to do so. External social media should involve individual interactions, and you must not speak on the Clubs behalf unless you are expressly authorised to do so. Only Officers of the Club or their delegates are authorized to speak on behalf of the Club both online and offline. If anyone notices material on the Internet and believes that it requires the Club’s response or is asked to respond to questions about Club activities, unless that person has explicit authority to respond on behalf of the Club, he or she should not respond. In that instance, the Club Secretary or another Officer of the Club should be informed for them to respond on the Club’s behalf.
  • Respect privacy and confidentiality obligations when posting photos or videos. Before you post online video or photos that include images of Club Officers, Members, Events (such as shows) or activities (such as social events), it is your responsibility to obtain their consent. If you fail to do so and they subsequently object, it is your responsibility to promptly take down or otherwise edit the posting in order to protect their privacy. The Club will fully support those who wish to maintain their privacy in this regard. For example, not everyone at a Club event will want to see themselves being posted and tagged on Facebook.
  • Take responsibility for your content. The Club Officers and Members have a choice regarding whether or not to engage in social media. Accordingly, those who use social media are personally responsible for their interactions and the content they contribute. The Club encourages everyone to identify themselves by name in online interactions and write in the first person.
  • Don’t post content on social media that shows the Club in a negative way or that would bring the Club into disrepute.

3. Rights to Delete

The Club reserves the right to delete any social media posts it does not deem appropriate, defamatory or irrelevant to the purpose of the Club.

4. Rights to Revoke Membership and Access

Where the Club Officers deem it to be necessary membership may be revoked and access to social media groups and pages for the offender will be blocked.
